4.2.8 Information and data management
Child FIRST IRIS recording
For all requests for service that are received by Child FIRST, Child FIRST completes all data entry on IRIS and print a copy of the details for attachment to the family's written “request for service” information. Families are offered a copy of this information.
NB* This information does not include “protected” referrer's details when protection is requested/required.
Child FIRST has the capacity to electronically export this referral information to the allocated Family Service provider.
Details are updated on IRIS for all “active holding” services offered.
Details are also updated on IRIS in the event that an immediate response role is commenced.
At the point of allocation, the “Child FIRST” case is referred via data export, to the local family service agency who will be working with the family.  
Recording Active Holding on IRIS
All active holding work must be recorded on IRIS using the Maintenance while family on waiting list: active holding service activity. All activities undertaken as part of active holding are only to be recorded as active holding (ie not as referral and intake or casework or indirect service). This will enable counts of:
  • No. of cases where this activity type is recorded
  • No. of hours spent on active holding services?
IRIS allocation, case movement and closure
Intra catchment referrals
  • This is a new referral source used to refer families between partner agencies for local agency referrals not originating from Child FIRST (eg transfer to other agency for holding at local level; transfer between partner agency for dual roles (both open) or different services (one agency closes).
  • No. of intra catchment referrals will provide a measure of integrated partnership activity
  • Intra catchment referrals will be counted as new cases, but not additional families within the catchment.
Child FIRST exports
  • All allocations made by Child FIRST to local agencies are done via the IRIS 'refer case' export function
  • All subsequent allocations of the case that initiated in Child FIRST are imported back to Child FIRST and re-allocated via refer case to the next agency
  • Following these processes will enable all partnership activity to be reported on from  IRIS and will ensure cases are not double (or more) counted as new referrals to Family Services
Case closures
Child FIRST are to be advised of all closures of tracked (exported/refer cases) independently of IRIS import to enable closure to be completed on the Child FIRST IRIS data base.  This advice should be provided, by phone or email, by the local agency as soon as closure occurs, or at the next allocation meeting.
